Dental Recall Call Script: Bring Patients Back (India)
17 October 2026
Most dental clinics in India do not lose patients to a better dentist. They lose them to silence. A patient finishes a root canal, is told "come back for the crown in two weeks" or "see you in six months for cleaning", and then nobody calls. Six months later the patient has a new toothache and walks into whichever clinic is nearest.
A dental recall call is the short, polite phone call that brings your own patients back for the care they already need: the six-month check-up and scaling, the pending second sitting, the crown after a root canal, the aligner review. This guide gives you a recall list you can build from your records today, a call script in English with Hindi and Telugu lines, a calling schedule, and the rules to stay on the right side of patient trust.
What counts as a recall (and what does not)
Keep recall calls about the patient's own treatment. That keeps them useful to the patient and keeps you clear of the Dental Council of India's ethics rules, which discourage dentists from soliciting patients. A recall is not a discount campaign to strangers.
| Recall type | Who to call | When |
|---|---|---|
| Routine check-up and scaling | Patients whose last check-up was about six months ago (or the interval the dentist set) | 2–3 weeks before the due date |
| Incomplete treatment | Root canal done, crown not fitted; first sitting done, second not booked | 3–5 days after the missed or unbooked sitting |
| Post-procedure check | Extraction, implant or surgery patients | Next day, then at the review date |
| Orthodontic and aligner reviews | Patients who missed a monthly adjustment | Within a week of the missed visit |
| Lapsed patients | No visit in 12–18 months | Once, then stop if there is no interest |
The incomplete-treatment list matters most. A tooth with a root canal and no crown can crack, and the patient often does not know the risk. That call protects the patient first and your clinic second.
Build your recall list in one afternoon
- Export your patient records from your clinic software, or copy them from the appointment register into a spreadsheet: name, mobile number, last visit date, treatment done, next step advised, preferred language.
- Add a "recall reason" column using the five types above. If the treatment notes say "crown pending" or "2nd sitting", tag it as incomplete treatment.
- Sort by urgency: incomplete treatment first, then post-procedure checks, then routine six-month recalls, then lapsed patients.
- Remove anyone who asked not to be called, and patients who have moved to another city.
- Note the treating dentist's name. Patients respond to "Dr. Priya asked us to check on you", not to "the clinic".
Dental recall call script (English)
The call should take under two minutes. Its only job is to remind the patient why the visit matters and book a time.
1. Greeting and reason
"Hello, am I speaking with [Patient name]? This is [Your name] from [Clinic name]. Dr. [Name] asked us to call you about your [check-up / crown / second sitting]. Do you have one minute?"
2. Remind them of the care, simply
- Six-month check-up: "It's been about six months since your last cleaning. Doctor recommends a check-up now so small problems are caught early."
- Crown pending: "Your root canal is done, but the tooth still needs its crown. Without it, the tooth can break, so doctor wants to fit it soon."
- Missed sitting: "You had a sitting planned for [date]. We wanted to make sure you're comfortable and book the next one."
3. Offer two slots
"Doctor is available on [day] at [time] or [day] at [time]. Which suits you better?" Two choices get a faster yes than "when would you like to come?"
4. Handle the common replies
- "No pain, so I'll skip it." "That's good to hear. Most problems we find at check-ups don't hurt yet, which is why doctor likes to see you before they do."
- "How much will it cost?" Give the range your dentist approved. "A check-up with cleaning is usually ₹[X]–₹[Y]. Doctor will confirm after seeing you." Never quote a fixed price for treatment that needs examination.
- "I'm busy this month." "No problem. Shall I call you again in two weeks, or book a Sunday or evening slot?"
- "I've gone to another dentist." "Thank you for letting us know. I'll update our records. Take care." Mark them and stop.
5. Confirm
"I've booked you on [day, time] with Dr. [Name]. Can I send the time and location on WhatsApp to this number?"
Hindi and Telugu opening lines
Calling in the patient's language makes the call feel like care, not sales.
- Hindi: "Namaste, kya main [Patient name] ji se baat kar rahi hoon? Main [Clinic name] se bol rahi hoon. Dr. [Name] ne aapke [check-up / crown] ke liye call karne ko kaha tha. Kya ek minute baat kar sakte hain?"
- Telugu: "Namaskaram, [Patient name] garu maatladutunnara? Nenu [Clinic name] nunchi call chestunnanu. Dr. [Name] mee [check-up / crown] gurinchi call cheyamannaru. Oka nimisham maatladavachha?"
A recall schedule that does not annoy patients
- First call 2–3 weeks before the due date (or 3–5 days after a missed sitting).
- If no answer: one more try the next day at a different time (evening works better for working patients).
- Still no answer: a WhatsApp or SMS reminder, if the patient has agreed to messages.
- Booked: a reminder call the day before. Our appointment reminder call script covers what to say.
- Not interested or no response after three attempts: stop, note it, and try once more at the next six-month mark only if they did not say no.
Rules to follow in India
- Call only your own patients about their own care. Buying number lists or calling strangers with offers is both poor ethics for a dental practice and promotional calling under TRAI's rules.
- Keep offers out of recall calls. Once a call promotes a discount or a new service, it starts to look like a promotional call, which brings DLT registration and DND checks into play. Our guide to checking DND status before calling explains when that matters.
- Call at sensible hours, for example 10 AM to 8 PM, and never early morning or late night.
- Protect health details. Under the Digital Personal Data Protection Act, 2023, patient data must be used only for the purpose it was collected for and kept secure. If someone other than the patient answers, do not discuss the treatment. Say "this is about their dental appointment" and ask for a callback.
- Respect "don't call". Note it in the record the same day so nobody calls again.
Numbers to track each month
- Recall list size: patients due or overdue.
- Reach rate: how many you actually spoke to.
- Booking rate: calls that ended in a booked visit.
- Show rate: booked recalls who came in.
- Incomplete treatments closed: crowns fitted, second sittings completed.
Even a simple spreadsheet shows where patients drop out. In most clinics the leak is at the first step: the list exists, but nobody has time to call it.
Where an AI voice agent fits
Recall calling is repetitive, time-bound and best done in the patient's language, which is exactly the kind of work an AI voice agent handles well. RANA AI can call your recall list during the hours you set, speak in 11 Indian languages including Hindi, Telugu, Tamil and Kannada, explain the reason for the call using the notes you approve, offer slots, and send your front desk a transcript and summary of every call. It introduces itself as your clinic's assistant, and patients can always ask to speak to a person.
Plans start at ₹13,999 a month for 1,000 connected minutes on Starter, and calls are billed in 30-second pulses. A two-minute recall call means roughly 500 patient conversations a month. See how it works for dental practices on our AI voice agent for dental clinics page, or start a 14-day free trial with 100 minutes and test it on your own recall list.
Frequently asked questions
What is a dental recall call?
A short phone call from a dental clinic to its own patients, reminding them of care they need, such as a six-month check-up, a pending crown after a root canal or a missed second sitting, and booking a visit.
How often should a dental clinic recall patients?
Most clinics recall routine patients about every six months, or at the interval the dentist advised. Incomplete treatments, such as a crown pending after a root canal, should be followed up within a few days of the missed or unbooked sitting.
Is it legal to make dental recall calls in India?
Calling your own patients about their own treatment, at sensible hours, is normal patient care. Keep offers and discounts out of recall calls, protect health details under the DPDP Act 2023, and stop calling anyone who asks you to.
How many times should I call a patient who doesn't answer?
Try twice at different times of day, then send one WhatsApp or SMS reminder if the patient agreed to messages. After three attempts, stop until the next recall date.
Can an AI voice agent make dental recall calls?
Yes. An AI voice agent such as RANA AI can call your recall list in the patient's language, explain the reason for the visit using notes you approve, offer appointment slots and send your front desk a summary of every call.
